Our Story
Our story began in 2014 with a simple but powerful mission: to create a vehicle for mental health services that are accessible, affordable, and equitable. Founded by a therapist with lived experience navigating poverty and systemic barriers as a child, our company was born from the belief that everyone deserves access to high-quality care regardless of income, language, or background. Raised in a rural area with countless limitations, our founder understood firsthand the impact of structural gaps in mental healthcare and other resources.
Through education and relentless dedication, she earned multiple undergraduate and graduate degrees from the University of Texas and Columbia University, trained at Bellevue Hospital, and has since contributed as a speaker and panelist at SXSW (South by Southwest) conference and the United Nations. Today, that same passion drives everything we do. We serve historically underserved and specialty populations in our brick and mortar clinic locations, and we now offer services to clients through both online care.
In line with our commitment to serve diverse clients, we proudly accept multiple insurance plans—including Medicaid plans—to ensure support is never out of reach. Grounded in the pillars of service, accessibility, and diversity, our work is a reflection of our hearts—and a commitment to empowering others through excellence in care.
Rates, Insurance & Appointment Policies
We are committed to providing affordable care and we provide a multitude of payment options to cover the cost of services. We currently accept a number of insurance plans, and also provide private pay options.
Clients who elect to use their insurance for payment may need to pay copays, coinsurance and/or deductibles for services rendered by our therapists who are credentialed to accept insurance. We do not have the ability to waive copays, deductibles or coinsurance, due to our contractual obligations with the insurance companies.
You are responsible for any charges not eligible and/or covered by their insurance plan or FSA/HSA account. Please note that payment for counseling-related fees are due at the date of service. Applicable counseling-related fees may include copays, coinsurance, deductibles, and balances.
Cost estimation tools provided by the client’s insurance company allow for the collection of coinsurance and deductible amounts at the time of service. This collected amount is based on an estimate of your out-of-pocket costs for services provided.
Actual coverage and member liability amounts are determined once the claims are processed by the insurance company. While we work to obtain an “estimate of fees” from your insurance company directly as a courtesy to you before the initial appointment, it is important to note that the information provided to us are just estimates.
We are only able to confirm client fees once the claims get processed by the insurance companies. If fee adjustments must be made as a result of the claims being processed, we will notify the clients of this change. Although we work to obtain information from the insurance companies upfront as a courtesy, it still remains the client’s responsibility to understand their plan’s limitations, deductibles and exclusions.
For benefit coverage inquiries, clients are encouraged to call the customer/member service phone number on the back of their insurance card. It is the client’s responsibility to provide updated information when their insurance policy changes or their coverage terminates.
Clients will still be financially responsible for services rendered if their insurance coverage has terminated. You may contact us at support@mygramercycounseling.com or update your insurance information directly on the platform by logging into your Gramercy Counseling account at any time. Unpaid client invoice will result in a client’s services being suspended until the invoice has been paid. The client is subject to termination of services if the outstanding invoice is not paid.
No insurance? No problem!
If our services are not covered by your insurance provider, if you are uninsured, or if you elect to pay out-of-pocket for any reason, our fee is $125 per session regardless of the session length. This fee applies to individual, couples, and family sessions rendered by our therapists, which include LPCs, LCSWs, LPC Associates, LMSWs, LMFTs and LMFT Associates. Our fee is non-refundable upon payment and due upon booking of an appointment.
Payments made for private pay sessions (out of pocket payments) will be collected at the time that the client books the appointment with the therapist. Payments made when booking appointments are
non-refundable and will not be refunded even if the client fails to attend their appointments. A client may cancel or change his/her/their sessions at least 24 hours in advance by logging into their dashboard located in their Gramercy account and initiating the change from their portal directly.
Failure to provide credit card information or a declined credit card transaction when fees apply may result in the cancellation of future appointments. Please note that LMSWs, LMFT Associates, and LPC Associates do not accept insurance.
For clients using commercial (non-government funded insurance plans) insurance plans to cover counseling-related costs: you will incur a $50 charge for any session that is canceled or changed with less than 24 hours advance notice of the scheduled appointment time. This $50 fee will also apply to sessions that are missed without this aforementioned prior notification (client no-show). This charge is NOT covered by your insurance company and may be billed to the payment option that you have on file in the platform.
Scheduled appointments must be canceled or changed at least 24 hours in advance of the scheduled appointment to prevent your credit card from being automatically charged the $50 fee for non-compliance with our appointment cancellation policy. Clients may schedule, cancel or change a scheduled appointment by logging into their Gramercy account and initiating the change directly from their dashboard.
For clients using government-funded insurance plans such as Medicaid, Medicare & Tricare insurance plans for services: you are not subject to a fee for late-cancelled sessions, No-Show sessions or sessions changed with less than 24 hrs advanced notice of the scheduled session.
You may schedule your therapy sessions by logging into your Gramercy account and scheduling directly on the dashboard of your account. Sessions typically last approximately 53 minutes but time parameters can vary due to a variety of factors. You are expected to arrive on time for sessions, and to ensure we can provide timely services to other clients, we will promptly end the session at the scheduled end time regardless of whether we started the session on time or late due to you. If you fail to attend a significant portion of your appointment, your insurance provider may determine that your session is not billable to insurance.
Please note that you will only be able to log in within the first 15 minutes of the scheduled appointments. Failure to log in within the initial 15 minutes will be considered a No Show and applicable fees may apply in these instances. A client may cancel or change their sessions at least 24
hours in advance by logging into their dashboard located in their Gramercy account and initiating the change from their account on the platform directly. Clients should not cancel or reschedule their
appointments with their therapists, since the therapists do not have the capacity to cancel or reissue
appointments for clients.
Clients are required to give at least 24 hours’ notice for cancellations and rescheduling requests. In the event that you are late to a session, we will not extend the session to make up for the late start, and you may still be billed for the full session. If you are more than fifteen minutes late for a session, or fail to attend, it will be considered a “No-Show”. Please help us serve you better by keeping scheduled appointments.
Clients may schedule, cancel or change a scheduled appointment by logging into their dashboard located in their Gramercy account and initiating the change directly from their Portal. However, appointments can only be rescheduled, updated or changed once in the Portal. Clients who no show or cancel/change an appointment less than 24 hours in advance from their scheduled appointment may encounter fees in the following manner:
Ending relationships can be difficult. Therefore, it is important to have a termination process to achieve some closure. The appropriate length of the termination depends on the length and intensity of treatment. Except as otherwise stated in this Agreement, your Provider will only terminate treatment after appropriate discussion with you and exploration of the reasons for termination.
We may also terminate care if you are in default on payment or if you have canceled or rescheduled an appointment with less than 24 hours’ notice or failed to attend an appointment without notice three times within a 90-day period. You may terminate this Agreement at any time by providing your Provider or us with notice. If you request another Provider, your Provider may provide you with additional referrals, but you are free to choose a Provider or third-party therapist on your own accord. Counseling is voluntary. Both you and your Provider reserve the right to transfer or terminate services at any time for any reason.
Termination Due to Appointment Non-Compliance: All clients who no show or cancel/change an appointment less than 24 hours in advance from their scheduled appointment 3 times within a 90 day period may be subject to termination of care.
Termination of Insurance Coverage: Unfortunately, there is no way for us to know if your insurance coverage has changed or terminated, and it is your responsibility to notify us of any changes to your insurance information or coverage. Failure to pre-emptively notify us of insurance coverage changes or terminations may lead to interruptions in care, outstanding fees and/or invoices, and/or termination of care – so it is imperative that you keep us informed of such changes. If you need to update your insurance information or if you have recently changed or terminated your insurance coverage, please notify us by sending us an email to support@mygramercycounseling.com.
You may reschedule or cancel your appointments by logging into your Gramercy account and initiating the appointment changes directly through your dashboard. You may not cancel your appointments with your therapist directly, as therapists do not have the capacity to cancel or reschedule appointments on your behalf.
FAQs
Counseling is a collaborative and therapeutic process that develops between you and a therapist. The purpose of this service is to work on different areas of your life and assist with your personal goals. For counseling to be most effective, it is important that you take an active role in the process.
Counseling and psychotherapy both refer to a supportive and guiding relationship with a licensed, professional therapist who has undergone extensive training in order to be able to understand the dynamics of the human experience and psychological development.
Psychotherapy services are typically offered to children, adults, couples and families on a weekly basis. There are many different definitions and philosophies of psychotherapy, and each therapist will have their own unique approach to treatment in unison with your goals, desires and preferences. Counseling activities are governed by the state licensing boards that issue our therapists’ clinical licensures.
Life can be complicated and it can sometimes feel very overwhelming. If you are experiencing persistent feelings of sadness, anxiety, stress, or have trouble managing daily activities, relationships, or work, counseling might be beneficial.
It is also helpful for anyone seeking personal growth or anyone who may be dealing with challenging life transitions, grief & loss, changes in relationships/career, trauma, identity & self esteem issues, anger management, disordered eating, alcohol and substance abuse, and other life concerns.
Counseling can also help you understand and manage your emotions, develop coping strategies, improve relationships, and achieve personal goals. Our therapists provide a supportive space to work through challenges and promote mental well-being, while providing the opportunity for healing and lasting change.
Gramercy is owned and operated by licensed therapists so we understand our clients’ needs well. Our decades of experience in working with clients directly has afforded us the unique opportunity to understand the challenges that clients face when hoping to engage care, and we have developed an online platform that will allow for them to be able to access affordable, convenient, and flexible care from the privacy and comfort of their own home.
As licensed therapists, we are committed to upholding the highest practice standards of our profession, while delivering evidence-based, culturally competent, high-quality services to the people that we serve. We also understand how necessary it is to maintain our clients’ confidentiality and to safeguard the public’s trust. We take our fiduciary responsibilities seriously, and as a result, we would never share, sell or disclose our client’s information to unauthorized parties under any circumstances.
Our platform also focuses on diversity and inclusivity. As such, we provide professional counseling services in both English and Spanish. At Gramercy, we recognize the needs of our diverse communities and we endeavor to create a healthcare space that bridges the prominent linguistic gap many people face when attempting to engage in mental healthcare services.
All of our therapists are masters level or doctorate level clinicians who are licensed in their respective state to provide mental health counseling services.
Our therapists are trained in different areas of practice and they maintain the following clinical licensures: Psychologist (PsyD/PhD), Licensed Professional Counselor (LPC), Licensed Clinical Social Worker (LCSW), Licensed Professional Counselor Associate (LPC Associate), Licensed Marriage & Family Therapist (LMFT), Licensed Master Social Worker (LMSW), and Licensed Marriage & Family Therapist Associate (LMFT Associate).
All of our therapists present with a diversity of clinical training backgrounds and professional experience. Gramercy Counseling strives to assist you with your counseling needs by offering you an array of therapists to choose from. It is important to read the therapists’ profiles carefully to learn about their specialty areas of practice and professional experience.
Although some of our therapists are in-network with some of the major health insurance plans, others are not; therefore, it is important to read the provider profiles of each therapist that you are interested in working with to determine which accept your insurance plan.
Clients who do not have insurance may obtain services with any one of our therapists at a rate of $125 per session. This flat fee is consistent regardless of the time spent in session or the session type (e.g. individual counseling vs family counseling). Please make sure to read the therapist profiles to select the one that is the best fit for you!
If you have changed your insurance information, lost your insurance coverage, or switched your insurance plan, please notify us at support@mygramercycounseling.com so that we may update our records. Accurate insurance information is essential to ensure that your sessions are billed correctly.
Changes in insurance plans may also affect your coverage options, including copay, coinsurance, deductible amounts, and the number of sessions covered. Outdated insurance information may result in denied claims, unexpected out-of-pocket expenses, and interruptions in your treatment. Please help us prevent these issues by emailing your updated insurance information to support@mygramercycounseling.com.
During your initial virtual counseling sessions, your therapist will conduct an initial assessment, asking questions about your mental health history, current symptoms, clinical needs, strengths, and any personal information the therapist may deem relevant about your life history and current functioning.
The therapist may also focus on goal-setting and will help you explore the outcomes that you would like to achieve while in therapy. As your sessions progress, your therapist may use specific therapeutic techniques to address your specific concerns, and this professional may even suggest reading material or assign homework assignments for you to complete in an effort to help you achieve your goals.
Our therapists offer individual, couples and family counseling services; however, it is important to read the profiles of the different therapists to understand which of these services they offer.
Not all therapists offer these array of services, so we encourage you to read the therapist profiles carefully to choose a therapist that offers the type of counseling services that you are seeking for your unique situation.
Yes. Your virtual sessions must be private and confidential as required by law, so no audio or visual recording of sessions is permitted. You must also ensure that you are in a private, quiet space free of interruptions when you are logged into your counseling sessions. Your information will not be disclosed without written permission from you or your legal guardian (if you have one).
Exceptions to confidentiality do exist and they apply when 1) there is suspected abuse or neglect of a child, elderly person or disabled person, 2) when your therapist believes that you are at risk of harming yourself or others, 3) if a court of law should subpoena your records. Outside of these circumstances, your information will be kept confidential and will require written consent in order for information to be released.
We require our clients to maintain an active credit card on file to cover potential fees that may arise as a result of unique circumstances, such as fees that apply for no shows, changes in coverages and fees whenever a client changes insurance plans, etc.
In some instances, deductibles that have been previously met may reapply later in the calendar year, and we would need cards on file to be able to collect fees in a timely manner. Don’t worry, we will not run your card if you do not have fees that apply, and you are always welcome to request an itemized statement which reflects your charges and fees collected.
Our clients are typically seen once per week, but you may request to be seen twice per week if you are experiencing acute distress, an increase in mental health symptoms, or an increase in other significant life stressors.
Most insurance plans will only allow clients to receive one service per day, so you may only see your therapist once per day. You should discuss the frequency and duration of services with your therapist to develop an appropriate treatment plan and appointment schedule that works for you, and that aligns with your mental health needs
If you feel your current therapist is not the best fit for you, you may book an appointment with a different therapist who you feel may be a better fit at any time.
You can do so by simply logging into your Gramercy account and booking an appointment with a different therapist. This happens sometimes and it’s ok. Your comfort and your healthcare needs are our priority! You may only work with one therapist at a time through Gramercy Counseling, so please choose the professional that is the best fit for you and your needs.
You can also message us at support@mygramercycounseling.com and request that your records that your initial Gramercy therapist developed be transferred to the new therapist of your choice so that the new professional may review your records.
Our clients like having this option because it prevents them from feeling like they have to “start over”, and some find comfort in knowing that their new therapist can read the previous therapist’s documentation to pick up where they left off in your care.
Understanding the benefits and coverages of health insurance can be complicated. We are here to help! After you book your initial appointment with your therapist of choice, our staff will contact your insurance plan to obtain an “estimate of benefits”.
We will then contact you before your initial appointment via your preferred contact method to inform you of your estimate of benefits and applicable fees. It is important to note that we obtain your coverages and applicable fees during this initial contact with your insurance company, and the information that we provide to you is the information that is shared with us during this initial contact.
The insurance companies only provide us with an “estimate of benefits and fees” and we are only able to confirm your coverages and fees after your claims are processed by the insurance company. Please know that we endeavor to obtain accurate information during this initial contact with your insurance plan; however, we are reminded by the insurance representatives that we work with during these calls that the information that we are provided with are estimates.
We encourage you to stay informed and empowered, and as such, you are welcome to contact your insurance plan to learn more about your mental health care coverages and fees.
If you have both Medicaid and a commercial insurance plan (like United Healthcare, Aetna, Blue Cross Blue Shield, etc), the commercial insurance plan is usually considered the primary insurance, and Medicaid is typically considered the secondary insurance.
In these situations, we must bill your primary insurance plan first because the secondary insurance will typically deny your claims if you have a primary insurance plan that covers the services rendered. We encourage you to contact your insurance plans to request details about your coverages under each plan.
Our therapists work with children (at least 10 years of age), teenagers and adults. Clients under the age of 18 must obtain consent from a parent or legal guardian in order to use our platform. Clients over the age of 18 who have a legal guardian in place must also obtain consent to participate on our platform.
The coverages and fees associated with each insurance plan are different and unique to the plans in question. Some insurance plans cover 100% of the services, which means there is no direct cost to you and you are able to obtain these services for free of additional charges; however, there are some insurance plans that have deductibles, coinsurance and/or copay amounts that apply.
To understand the specific details of your insurance plan, we encourage you to stay informed and to contact your insurance plan to obtain more information about fees that may apply for these services.
Your therapist must be licensed to practice in the state in which they are rendering services. Due to licensing requirements, they may not provide services to you if you move out of the country or if you move to a state in which they are not licensed to practice in.
You are welcome to send billing-related inquiries to support@mygramercycounseling.com. Our staff will respond to your inquiries within 2-7 business days. This time frame allows our team to thoroughly review your inquiry and ensure we provide you with the most accurate information.
You can cancel or reschedule your appointment by logging into your account and accessing your scheduled appointments on your dashboard. You may only change or reschedule an appointment once. Please note that we require at least 24 hours’ advance notice for cancellations or rescheduling.
Fees may apply for failing to attend a scheduled appointment, and in some instances, fees may also apply if you fail to cancel or reschedule with at least 24 hours’ notice. Please see our terms and conditions for further details about our cancellation policy.
Research shows that online counseling can be as effective as in-person therapy, with numerous studies demonstrating that online therapy provides similar benefits to traditional face-to-face therapy. Clients often report high levels of satisfaction with virtual counseling, citing convenience and accessibility as major benefits.
